SCHEDULING
Booking pages for coaches: get webinar attendees onto a call
If your offer starts with a conversation, the webinar's job is to fill your calendar with the right people: offer the call when interest peaks, keep booking quick, and make sure the call happens. Here is how, and how Webinly Scheduling runs it next to your webinars.
How to get webinar attendees to book a call
Offer the call as the next step, not as a favour. At the pitch, say what the call is for and what they leave with (a plan, or a clear answer on whether you can help), then put the booking link in front of them while they are still listening.
Then repeat it where the interested people already are:
| Moment | Who you reach | What to do |
|---|---|---|
| At the pitch | Everyone still watching | Put the booking link in the chat as a card and say who the call is for. |
| In the replay | People who missed it live | Keep the card at the same moment, so the pitch and the link arrive together. |
| The same day | Everyone who stayed to the pitch | One short email with the booking link as its only link. |
| Two or three days later | People who reached the pitch and did not book | Answer the objection you heard most, then give the link again. |
What a calendar booking page for sales calls needs
- One call, one purpose
One booking page per kind of call, with a clear name and two sentences on who it is for.
- Only times that are really free
Your working hours minus what is already in your calendar, with a buffer around each call.
- The visitor’s own time zone
Times shown in their zone, not yours, so nobody arrives an hour late.
- Where the call happens
A video link, phone number or address, shown before they book and in every email.
- Confirmation, reminders and an easy way to move it
A confirmation for their calendar, reminders the day and the hour before, and a link to move the call.
- Few questions
Name, email and the one or two answers you need to prepare, nothing more.
Scheduling for webinar hosts: how Webinly Scheduling works
Webinly Scheduling sits in the same account as your webinars, forms and contacts. Each booking page is an event type with its own link, and booking pages come with every plan, including Starter. Its tabs include Event types, Availability, Calendars and Bookings.
Availability rules
Each booking page adds its own rules to your hours, starting from the defaults below.
| Rule | What it does | New booking page |
|---|---|---|
| Weekly hours | The hours you can be booked each day, in your time zone, used by every booking page without special hours. | Mon to Fri, 9:00 to 17:00, added when you create a booking page and have none |
| Date overrides | Block a day off, or add hours to one date on top of your usual ones. | None |
| Special hours | Give one booking page its own hours instead of your weekly ones. A day you blocked stays blocked. | Off |
| Length | One fixed length, or several for the booker to choose from. | 30 minutes |
| Minimum notice | How soon someone can book. | 1 hour |
| Max future | How many days ahead the page shows times. | 60 days |
| Slot interval | How often a slot begins. | Every 15 minutes |
| Buffers | Time kept free before and after each call. | None |
| Max bookings | The most calls per day, week or month, counted in your time zone. | No limit |
Google Calendar
Connect Google Calendar and choose which of your calendars count as busy and which one receives new bookings. Busy times disappear from your booking pages and each booking is written to the calendar you chose. A reschedule replaces that entry with one at the new time, and a cancellation removes it. If the connection stops working, you are emailed to reconnect; until then, people can book over your other meetings.
Time zones
The person booking sees times in their own time zone, detected from their browser, and can switch zones on the page. Their emails show the time in the zone they booked in, and slots stay correct across daylight-saving changes.
The booking form
Email is always asked, because the confirmation goes there. You pick what else the form asks: name, phone, or your own contact fields. Answers are saved to the person’s contact record, so an email can use them. The time they pick is held for a few minutes while they fill in the form, with a countdown on screen, so two people cannot book the same slot. A booking page written in Arabic runs right to left.
Emails to the person booking
| When it goes out | |
|---|---|
| Confirmation | Right after booking, with add-to-calendar links and a link to reschedule or cancel. |
| Pre-call email | A few minutes after the confirmation. Rewrite its generic starting wording or switch it off. |
| Reminders | 24 hours and 1 hour before the call, skipped if it was cancelled. |
| Change notices | When the call is moved or cancelled, whether they did it or you did. |
| No-show nudges | Only after a booking is marked a no-show: up to three emails over two days with a link to pick a new time, stopping if they book again. |
On each booking page, the Emails button opens a list where you can rewrite these emails, send yourself a test of each, and switch off any of them except the confirmation. The notice sent when you move a call yourself is not in that list: it cannot be switched off, and its wording is set once for the whole account under Automations, Your default emails. You get your own email each time someone books, cancels or moves a call.
Cancelling and rescheduling
The link in their emails lets the person pick a new time or cancel, with an optional reason. A reschedule keeps the same booking. Per booking page you can switch either option off, set a cancellation cut-off and a reschedule cut-off such as 24 hours before the call, and write a cancellation policy. Cut-offs bind bookers, not you: from the Bookings tab you can move a call (while rescheduling is on for that booking page), cancel it with a reason, or mark it completed or a no-show.
Set the reschedule cut-off with no-shows in mind. A missed call is already in the past, so any reschedule cut-off, or rescheduling switched off, stops the no-show emails from offering a new time. Keep rescheduling on at Anytime and use the cancellation cut-off against late cancellations.
Where the booking page lives
Share its link, embed it on your website as an inline calendar, a floating button or a plain link, or drop the Calendar block onto a registration page in the page builder. A form can also end on your booking page with the person’s name and email filled in; that flow is on the forms page. Switch a booking page off and its link says it is closed.
From the webinar room to a booked call
In a live webinar (Pro and Scale plans), write a handout with your booking link in the wizard and throw it into the chat from the control room at the pitch; it can stay pinned. In an automated webinar, place the handout on the timeline at the minute you pitch. It shows in the chat as a card with your headline and button, and opens the booking page in a new tab. In the replay of a recorded live session it comes back at about the moment you threw it.
When they book with the email they registered with, the booking lands on the same contact record as their registration and viewing history; a booking made with a different address starts a separate contact. They become a Hot lead (unless they are already a customer, or you or an automation set their stage), and the call appears as a deal on your CRM board. More on the webinar CRM.
What it does not do
Calendar sync is Google Calendar only. Outlook and Apple calendars cannot be connected. The person booking can still add the call to their calendar from their confirmation.
There is no Calendly import. Webinly does not connect to Calendly or copy its event types: rebuild each booking page here. Bookings made on a Calendly link do not reach your Webinly contacts.
Reminders are email only. There are no text-message reminders.
A booking from the room starts blank. The card in the chat opens the booking page with empty fields; from a form ending, name and email are filled in. In the room, ask people to book with the email they registered with.
The page carries a Webinly line. Booking pages show a small “Scheduling powered by Webinly” line under the booking form, on every plan.
Check the hours it starts with. If you have no weekly hours or special hours set when you create a booking page, Webinly adds Monday to Friday, 9:00 to 17:00, in your account’s time zone (UTC if you never set one). Check them on the Availability tab before you share the link.
Set it up in six steps
- 1. Set your weekly hours
On the Availability tab, and block the days you know you are away.
- 2. Connect Google Calendar
On the Calendars tab, tick the calendars that block time and pick the one that receives bookings.
- 3. Create the booking page
A new event type with a clear name, its length, where it happens and what they leave with.
- 4. Check the form and the emails
Add only the booking fields you need, rewrite or switch off the pre-call email, and send yourself a test of each email.
- 5. Put it in the webinar and the follow-up
A handout with the booking link at the pitch, and the same link as the only link in your first follow-up email. The follow-up guide covers the rest.
- 6. Book yourself a test call
From a private browser window, book, move and cancel a call, checking your calendar, the emails, the contact and the deal each time.
Common questions
- How do I get people to book a call after a webinar?
- Offer the call at the pitch with the booking link in the chat, then again in the replay and in a same-day email. In Webinly, a booking made with the registration email lands on that person's contact record and shows as a deal on your CRM board.
- Can people reschedule or cancel on their own?
- Yes, from the link in their booking emails, unless you switch that off for the booking page. You can also set separate cut-offs for cancelling and rescheduling.
- Do I still need Calendly?
- For calls from your webinars and forms, Webinly Scheduling keeps the booking on the same contact as everything else that person did, when they book with the same email. Keep Calendly if you rely on an Outlook or Apple calendar or on tools built around it.
Put a booking page behind your next webinar
Booking pages, webinars and contacts share one account, so a call booked with the registration email joins that person’s webinar history.
Your card is saved when you pick a plan. On a first plan the first charge is 14 days later, with one webinar and 50 registrations in between. Cancel any time from the billing page.
