Scheduling App for Coaches 2026: Booking Page, One Record
· 10 min read · Webinly team
A coach's calendar fills from three places: the webinar, the intake form, and people who reply to an email. Most scheduling apps handle the slot well and the person badly: the booking sits in the app's own list, the registration in the webinar tool, the form answers somewhere else, and before each call you open three tabs to work out who this is.
This page sets out what a coaching business needs from scheduling, what a standalone scheduling app does by itself, and how Webinly Scheduling does the same job next to the webinar, the form and the contact record, with plan and price beside each claim, read from the Webinly pricing page on 25 October 2026.
What is the best scheduling app for a coach?
The best scheduling app for a coach puts the call on the same record as everything else that person did: the webinar they watched, the form they answered, the payment they made. A booking page, free slots and a reminder are the baseline, and most apps clear it. What separates them is whether you start the call knowing who this is, and whether the bill changes when a second coach joins.
Webinly Scheduling is built on that idea: the webinar fills the calendar, the booking page makes the call happen, and the record tells you who is coming. Hold any tool against this list:
- One booking page per kind of call.
- Only times that are really free: your hours minus your calendar, with buffers and notice.
- The visitor's own time zone, and where the call happens, in every email.
- A confirmation, reminders the day and the hour before, a link to move the call.
- A payment or a deposit before the slot, where your offer calls for it.
- The booking on the same record as the webinar and the form.
A standalone scheduling app vs Webinly Scheduling
A standalone app is good at the slot. Where it falls short for a coach is everything around the slot: by definition it holds neither your webinar registrants nor your form answers nor your sales board. If your calls do not come from webinars or forms, alone may be fine. The right-hand column has limits of its own, listed further down.
| What you need | A standalone scheduling app | Webinly Scheduling |
|---|---|---|
| A booking page per kind of call | Yes, that is its job | Yes, with its own link, on every plan including Starter |
| Only free times | Depends on which calendars it reads | Weekly hours, overrides, buffers, notice, and Google Calendar busy times removed |
| Reminders | Its own emails, from its own address | Email: confirmation, pre-call, 24 hours and 1 hour before, change notices. No text messages |
| The booking next to the webinar and the form | No, the booking lives in the app | One contact record, when they book with the registration email |
| Pay before the call | A separate checkout, if at all | A form ending takes the payment on Stripe or Tap, then opens the booking page |
| After the booking | A calendar entry | A deal on the CRM board, the Hot lead stage, an automation can start |
| The bill | A second subscription | Inside the plan: Starter $39, Pro $159, Scale $349 a month, per account |
How Webinly Scheduling works
Webinly Scheduling sits in the same account as your webinars, forms and contacts. Each booking page is an event type with its own link, on every plan including Starter.
Availability starts from weekly hours in your time zone; a first page created with none set gets Monday to Friday, 9:00 to 17:00, so check the Availability tab before you share a link. Each page adds its own rules: date overrides, special hours, one length (30 minutes by default) or several, a minimum notice (1 hour), how far ahead it shows times (60 days), buffers before and after each call, and a cap on bookings per day, week or month.
Connect Google Calendar and busy times disappear from the page, and each booking, reschedule or cancellation is written to the calendar you chose. The booker sees times in their own time zone, detected from the browser. Email is always asked; you choose whether to add name, phone or your own contact fields, and the answers land on the contact record. The slot is held for a few minutes while they fill in the form, and a page written in Arabic runs right to left.
From the link in their emails they can move or cancel the call, within cut-offs you set per page. Share the page's link, embed it on your site as an inline calendar, a floating button or a plain link, drop the Calendar block onto a registration page, or end a form on it. The booker gets these emails, each editable per page and switchable off except the confirmation:
- Confirmation, right after booking, with add-to-calendar links and a reschedule or cancel link.
- A pre-call email a few minutes later, which you rewrite or switch off.
- Reminders 24 hours and 1 hour before the call, by email only; there are no text-message reminders.
- Change notices, and no-show nudges once you mark a booking a no-show: up to three emails over two days with a link to a new time.
Can clients book straight from my webinar, or pay before the call?
Yes to both. From the webinar, the door is a handout with your booking link: in a live webinar, on Pro and Scale, you throw it into the chat from the control room at the pitch, where it can stay pinned; in an automated webinar, which every plan runs, you place it on the timeline at the minute you pitch. It shows as a card with a button, opens the booking page in a new tab, and comes back in the replay of a recorded live session at about the moment you threw it.
Book with the email they registered with and the booking lands on the same contact record as their registration and viewing history. A different address starts a separate contact, and the card opens the page with empty fields, so tell the room which email to use.
The second door, and the one that takes money, is a form. Webinly Forms can end on your booking page with name and email filled in, or take a payment on Stripe or Tap and, once it clears, send the person on to the booking page: payment first for a paid session, a small deposit where a no-show costs you a slot. A form payment is one fixed-price item, one charge, no subscriptions or instalments, and you should say so before the last question.
What happens after someone books?
The booking lands on the contact record next to their registrations, watch milestones and form answers. They become a Hot lead, unless they are already a customer or you set the stage by hand, and the call appears as a deal in the webinar CRM, on a board that starts with Booked, Showed up, Won, Lost and No-show.
The booking is also an automation trigger: wait, branch, send an email, tag, alert yourself, move a stage. If you have connected your own WhatsApp Business number through Meta's sign-up window, a step can send a WhatsApp message too: a template Meta approved in advance, to a contact with a phone number and country code who, unless the step is a service message, opted in to marketing. That is the only WhatsApp path around a booking; the page's own reminders stay email.
When the hour comes, click Call on the deal card and the call runs in your browser, with a three-line brief of what that person did first, on your own SIP line or a calling plan, recorded with consent. Booking analytics in the CRM then show the show rate, which bookings became won deals and where they came from, and booking events go out as signed webhooks on every plan.
What do you give up?
Four limits to know before you rebuild a calendar here.
- Calendar sync is Google Calendar only; Outlook and Apple calendars cannot be connected.
- No import from another scheduling tool: rebuild each booking page here.
- Reminders are email only, and every plan's booking page carries a small 'Scheduling powered by Webinly' line.
- A booking from the room starts blank, and a new account's hours default to Monday to Friday, 9:00 to 17:00, in UTC until you set a time zone.
What does it cost at your size?
Scheduling is inside every plan, and the price is per account, not per user. Booking pages, forms, the contact record, the CRM and automations are on all three plans; what changes is the webinar side and how many people work in the account.
Starter is $39 a month ($390 a year), for one person: one automated webinar at a time, unlimited registrants, no live broadcasting. Pro is $159 ($1,590 a year): live broadcasting, unlimited webinars, 2 co-hosts, your own domain, and 3 people on the team, counting you, with extra people at $19 a month each. Scale is $349 ($3,490 a year): rooms of 1,000, 10 co-hosts and 10 people. Co-hosts are included and cost nothing extra.
Phone minutes are the one add-on near scheduling: calls from the CRM run on your own SIP line or a calling plan you add. Everything else is on the pricing page.
Set up your booking page in six steps
The order the Webinly scheduling page recommends; most of the hour goes on the test call.
- 1Set your weekly hours on the Availability tab and block the days you are away.
- 2Connect Google Calendar: tick the calendars that block time, pick the one that receives bookings.
- 3Create the booking page: a clear name, its length, where the call happens and what the person leaves with.
- 4Keep only the form fields you need, rewrite or drop the pre-call email, and test each email.
- 5Put the link in a handout at the pitch and in your first follow-up email, or end a qualifying form on the page.
- 6Book a test call from a private window, move it, cancel it, and check the calendar, emails, contact and deal each time.
Frequently asked
What is the best scheduling app for coaches?
The one that keeps the call on the same record as the webinar and the form, so you open each call knowing what the person watched, answered and paid. Judge any tool on a page per kind of call, free slots that respect your calendar, reminders, the visitor's time zone, and whether the price is per account or per person.
Can clients book straight from my webinar?
Yes. Put a handout with your booking link on the timeline of an automated webinar, or throw it into the chat of a live one on Pro and Scale. It appears as a card and opens the booking page in a new tab. Book with the registration email and the call joins that person's webinar history.
Does it send reminders?
Yes, by email. The booking page sends a confirmation, a pre-call email, reminders 24 hours and 1 hour before the call, and change notices, each editable per page. There are no text messages. WhatsApp enters only through an automation that starts when someone books, if WhatsApp is connected and the template, phone number and opt-in rules are met.
Can a client pay before the call?
Yes, through a form. End it in a payment on Stripe or Tap, for an amount you set or a saved offer's price; once it clears, the person is sent on to your booking page with name and email filled in. It sells one fixed-price item per charge, no subscriptions or instalments. Say so before the last question.
Is it per seat?
No. Webinly's price is per account, and scheduling comes inside every plan. Starter at $39 a month is for one person; Pro at $159 holds 3 people on the team and Scale at $349 holds 10, with extra people on those two plans at $19 a month each. Co-hosts are included and do not cost extra.
Does it work on a phone?
Two ways. The call can be a phone call: you set where it happens, a phone number, an address or a meeting link, shown before they book and in every email. The booking page is a web link, opened from your email, the webinar chat card or your site, with times in the zone the browser reports.
Put a booking page behind your next webinar and take every call knowing what that person watched, answered and paid: your first plan is $1 today and the plan price 7 days later, cancel any time.
