PHONE CALLS

Phone calls from your CRM: click, talk, and it is logged

The people who reached your offer and did not buy are worth a call, today. Webinly puts a Call button on the deal and the contact, runs the call in your browser, shows you what that person watched and asked before you say hello, and writes the call onto the deal when you hang up.

Why call after a webinar at all

A webinar sorts your list for you. Most people registered and drifted off. A few stayed to the pitch, asked a question, or started a checkout and stopped. Those few are the ones a conversation can turn into buyers, and they are easiest to reach while the webinar is still fresh in their mind.

The usual setup makes that call slow. The webinar tool knows what they did, the CRM holds the deal, the dialer is a third app, and the rep dials with none of it on screen. In Webinly the webinar, the contact, the deal and the call are the same place, so the rep calls from the deal and sees the history while it rings.

The webinar CRM and lead scoring page explains how to tell who is ready to buy. This page is about what happens when you pick up the phone.

Click to call, wherever the lead is

The Call button appears wherever you look at a person with a phone number:

  • On every pipeline card

    A call icon on each deal card that has a phone. Working down the Showed up column is a row of clicks, and the call is tied to that deal.

  • On the contact page

    Next to the phone number. If the person has one open deal the call goes on it; if they have several, you pick which one when you wrap up.

  • In the deal drawer

    Open a deal and call from its details. The drawer also shows the latest three calls on that deal: how each went, who made it and when.

  • From the call log

    Call back anyone who did not answer, straight from the list.

How a call works in the browser

When you click Call, your browser asks for the microphone, joins a private call, and Webinly rings the number over a SIP connection to your phone line. The person hears a normal phone call. You talk through your headset or laptop, with Mute and Hang up on screen.

If the call does not go through, the screen says why in plain words, such as busy, no answer, or a number the line refused, instead of a bare error code. If either side leaves, the call ends, so closing the tab never leaves a phone connected. A single call can last up to an hour.

Your own line, or a Webinly calling plan

Bring a line you already have. Plug in a line from any SIP provider, such as Twilio or Telnyx, with its address, login and caller ID. Calls go out on that line and your provider bills the minutes, as it does today.

Or add a calling plan. A Webinly calling plan is an add-on with a monthly bundle of minutes, so there is no phone provider to set up. Calls to some countries use more than one minute of the bundle per minute talked, and the Calls page lists the countries a plan covers before you buy.

A brief before you say hello

While the phone rings, the call screen shows a box called “Before you talk”: three short lines written by AI from that person’s history, such as how much of the webinar they watched, the question they asked, and how your last call went. Under it are the facts the lines are written from, so you can check them:

  • the deal, its stage and its value;
  • which webinars they watched, and how much of each;
  • the question they asked, and their answers to your form;
  • whether they have bought, and where they first came from;
  • your last call with them, your last note and any open task.

Nothing in the brief is guessed. When there is too little to say, it says so and shows the facts alone.

Call recording, with consent

Recording is a workspace setting, chosen by the owner or an admin. There are three choices:

SettingWhat happens on a call
Don't record callsThe default. Calls are never recorded.
Ask first, then recordDuring the call the rep asks the person, then presses “They agreed, record”. The rep can also play your recorded notice first, then record.
Record every answered callRecording starts when the person answers, right after your recorded notice plays to them. With no notice recorded, the call screen tells the rep to say the call is recorded, first thing. The owner has to confirm the team tells every person before this can be switched on.

A notice in your own voice. Record one sentence, up to 15 seconds, right on the Calls page, or upload a file. That is what the person hears before recording starts. If the notice cannot play on a call, that call is not recorded automatically; the rep says the line and presses Record.

A no means delete. If the person says no partway through, the rep presses “They said no: stop and delete” and nothing is kept.

You choose how long audio is kept. 30, 90, 180 or 365 days, or kept until you delete it. Recordings are stored privately and play only for signed-in teammates who are allowed to see that deal or contact.

Recording rules differ by country and state. Webinly gives you the switches and the notice; which one your calls need is yours to decide.

After the call: logged on the deal, counted in the log

When you hang up, the call screen asks how it went: We talked, No answer, Left a voicemail, Call back later, Not interested, or Wrong number. Add a note and, if you want, a follow-up for tomorrow, in three days or next week, which lands in your tasks.

The call is written onto the deal once, with its outcome and its length, at the time it happened. It also shows on the person’s timeline and on their company’s page, so whoever picks the lead up next sees every call before theirs.

The call log

One list of every call across the workspace, for the last 7, 30 or 90 days. Filter by calls where you talked, calls that were answered or not answered, or one teammate. The totals at the top and a table per teammate show who is calling and how many of those calls became real conversations. Test calls are left out.

Rolling out means not on every account yet. Incoming calls (your team’s dashboards ring, the first to answer takes it), voicemail with a greeting in your own voice, choosing who a call rings and your opening hours, and answering and placing WhatsApp voice calls from the same Call button are being switched on account by account.

Transcripts are not on yet. A transcript and a written summary of each recorded call are built, and recordings made now can be transcribed once they are switched on.

It is not a dialer for cold lists. There is no power dialer and no automatic dialing of a list, and calls never become text messages. Each call is one click by a person who can see who they are calling.

Setting it up

  1. 1. Open Calls in your dashboard

    Add a calling plan, or open the phone line settings under it and enter the SIP line you already have.

  2. 2. Make a test call

    Call your own phone from the Calls page. If something is wrong with the line, the result says what.

  3. 3. Choose how calls are recorded

    Off, ask first, or every answered call. If you record, record your notice and pick how long audio is kept.

  4. 4. Ask for a phone number on your registration page

    A Call button needs a number. The registration page saves it with the country code, so it is ready to dial. See registration pages.

  5. 5. Call the hot ones first

    After the webinar, open your pipeline or sort contacts by score and start at the top.

Common questions

Can I call leads from my CRM without a separate dialer app?
Yes. In Webinly the Call button sits on every pipeline card that has a phone number, on the contact page and in the deal drawer. Click it and the call runs in that browser tab, using your computer's microphone. There is nothing to install.
Do I need a new phone number?
No. You can plug in a line you already pay for from any SIP provider, such as Twilio or Telnyx, and calls go out with that line's caller ID. If you do not have one, you can add a Webinly calling plan instead, which is an add-on with a monthly bundle of minutes.
Can calls be recorded?
Yes, if you switch it on. Recording is off by default. You can have reps ask first and press Record once the person agrees, or record every answered call after a short notice in your own voice. Recordings are kept for 30, 90, 180 or 365 days, or kept, as you choose, and only teammates who can see that deal or contact can play them.
Does Webinly transcribe calls?
Not yet. Transcripts and a written summary of each recorded call are built, but they are not switched on. Recordings made now can be transcribed once they are. The short brief you see before a call is on today: it is written from what the person did, not from a recording.
Can people call me back on the same number?
Incoming calls, voicemail with your own greeting, and choosing who a call rings and when are rolling out and are not on every account yet. Today, calls you place are fully supported, and each one is logged on the deal.
Is there a power dialer?
No. Webinly does not dial a list for you. You place each call by clicking, with that person's history in front of you, which suits the short list of hot leads a webinar produces.
