Email marketing for webinars: what to send your list between sessions
Between webinars, send your list one useful email a week, invite everyone who has not registered about a week before the next date, and write to each group about what it did last time: missed it, watched without buying, stayed for the offer, bought. Here is what to send, how often, how to split the list, and how Webinly's Email marketing sends it.
What to send your webinar list between webinars
Every email to a webinar list should do one of three jobs: teach one thing, bring people to the next session, or close an offer that is still open. An email that does none of them teaches people to skip you, and then they skip the invitation too.

If your webinars run on Webinly, the confirmation, reminders and follow-ups (replay emails for no-shows included) already go out on their own to registrants (see webinar follow-up). A broadcast is for everything else: the whole list, and people who have not signed up yet.
How often to email your webinar list
Once a week is a sensible default: often enough that people remember you when the next invitation lands, rare enough that each email can carry one idea worth reading.
A month with one webinar: a teaching email in weeks one and two; the invitation seven days before, to everyone not registered, and a last call the day before; nothing extra on the day, since the webinar’s own reminders and follow-ups are running; one “offer is closing” email to people who stayed for the offer; then back to the weekly email, with recent buyers left out of anything that sells.
Segment the list by what people did
What someone did at your last webinar says more than any job title. Webinly records it on each contact (registered, attended, how much they watched, stayed for the offer, started a checkout, bought), so each group below takes a few clicks to build.

Leaving people out matters as much as picking them. “Everyone who attended, but not people who bought” is the usual shape of a sales email. Mind the scope, too: the ready-made no-show and attended segments look across all your webinars and all time, so someone who attended any earlier webinar is not in the ready-made no-show segment. For one webinar, build the group on that webinar. If it repeats, that group covers every session; narrow it by date with the “in the last N days” box.
How email marketing works in Webinly
In the dashboard it is called Email marketing: write one email, choose who gets it, send it now or schedule it. When you open a group in Contacts, Email this group starts an email already addressed to it.
Choose who gets it
Put one or more groups under Send to: a segment, a saved view, a hand-picked list, or everyone with an email address. Groups under But not are left out even when they match. Tags work through a group built on a tag, and a CSV import keeps your old tool’s tags. Before sending, you see how many people it reaches and how many are left out, and why.
Build it by dragging blocks
Drag headings, text, bullets, images, buttons, highlights, dividers and spacing onto the email, or into two or three columns, and move blocks between columns. Give a section one of four background tones. Save a block or a whole section to drop into the next email. Personalise with first name (with a fallback such as “there”) or other contact fields, and preview on desktop or phone. It saves as you type.
Start from a template, in English or Arabic
A new email opens on finished templates, one per job: an invitation, a reminder a day before, starting soon, the replay is ready, the offer is closing, a newsletter, a thank you after a session, and a simple note, each written in English and, separately, in Arabic. You can also reuse a past email, start blank, or describe the email in a sentence and get a first draft to edit.
Your name on it, replies to you
Broadcasts have their own sender name and reply-to, separate from your webinar emails. They go out from Webinly’s address with your name on it, so add a reply-to and replies reach you. Sending settings shows the exact From line your broadcasts use, and is where you connect your own domain.
Test it, then send now or on the minute
Send a test to any address; its subject is marked [Test] and its unsubscribe link changes nothing. Then send now, or pick a date and an exact minute in your time zone. A scheduled email counts its group again when it goes out, and stays editable until then. A big send can be spread over hours. If a send runs out of allowance partway, it pauses. Once there is allowance again, after an upgrade or when the next cycle starts, Resume sending carries on where it stopped without emailing anyone twice.
Unsubscribes, bounces and complaints, handled
Every broadcast ends with who it is from, why the reader got it, and Manage preferences and Unsubscribe links, and carries the one-click unsubscribe header Gmail and Yahoo expect from bulk senders. Addresses that unsubscribed, bounced, reported spam or cannot receive mail are left out on their own. If too many addresses on your list cannot receive mail, sending is held until you remove them from Contacts, so clean an old list before you import it.
What you see after sending
A progress bar while it sends, then sent, skipped and failed counts, then delivered, bounced and spam reports. Below that, who did not get it and why, and every recipient’s outcome, downloadable as a CSV. A sent email is frozen so its report stays true; Duplicate and edit starts a new version.
What your plan includes, and what is an add-on
Confirmation, reminder and follow-up emails for your webinars come with every Webinly plan, in English or Arabic. Automations that email one person after they do something are not broadcasts and do not use the add-on.
Sending one email to a group or to your whole list is Email marketing, a separate paid add-on on top of your plan. You choose it on the Email marketing page in the dashboard. Without it you can still write, preview and send tests, and if the add-on ends, your drafts and past reports stay.
What it does not do
No open or click counts. Counting them means letting the mail service rewrite every link to its own web address, which readers can see, so both are off. So you cannot build a group from who opened or clicked a broadcast.
One email, not a sequence. A broadcast goes out once. Emails that follow on their own after someone registers, attends or buys belong in an automation.
No split test, and email only. There is no A/B test of subject lines or content on a broadcast, and it does not send text messages.
A sent email cannot be taken back. You can stop the rest of a send at any point, but emails already sent cannot be recalled or edited.
A new domain starts slow. Once broadcasts send from your own domain, the daily number of broadcast emails starts low and rises on its own, so a large list can take more than a day to reach everyone.
One unsubscribe also stops your reminders and follow-ups. Someone who unsubscribes from a broadcast stops getting your webinar reminders and follow-ups at that address too. Purchase receipts and booking confirmations still arrive.
Send your first broadcast
- 1. Get your list in
Registrants are already contacts. For an existing list, import a CSV; the import page has a sample file. Remove addresses you know are dead first.
- 2. Pick the group
In Contacts, open Lists, press New segment, and press Use this segment on the ready-made no-show segment (or build your own). Open that group and press Email this group.
- 3. Write it
Pick the template for the job, change the words, and add the button’s link.
- 4. Set the sender once
Type your sender name and a reply-to on your first email, then press Use this sender for every broadcast.
- 5. Test, then send or schedule
Open the test on your phone first. Then send it, or schedule it for when your list usually reads email.
Common questions
- What is webinar email marketing?
- Email to the people on your webinar list between and around sessions: teaching emails that keep them reading, invitations to the next session, and offers about to close. It works best when each email goes to a group chosen by what people did at your webinars, not to everyone at once.
- Can I send broadcasts from my own domain?
- You can connect it yourself: in Sending settings, add your domain and paste the records it gives you at your DNS provider. Until the Webinly team moves your sending onto that domain, broadcasts keep going out from Webinly's address with your name on it.
- Can I send a newsletter in Arabic?
- Yes. Every template has an Arabic version written in Arabic, emails can read right to left, and an Arabic email's footer and unsubscribe page are in Arabic too.
Email your list from where the webinar runs
Your registrants are already contacts, with what they did at each webinar on their record. Write the email, pick the group, send it.
Your card is saved when you pick a plan. On a first plan the first charge is 14 days later, with one webinar and 50 registrations in between. Cancel any time from the billing page.
