WhatsApp Marketing Software 2026: Campaigns, Groups, CRM
· 9 min read · Webinly team
Most WhatsApp marketing software is a sender. You upload a list, write a message, press send, and the tool knows nothing about the people on it: whether they registered for your webinar, watched it, reached your offer or paid. Every reminder and replay link starts as an export from one tool into another, and the moment passes.
This article lays out the WhatsApp part of Webinly, a webinar platform with its own CRM, from its public pages: what goes out and when, what the inbox, campaigns, groups and chat button do, what each piece costs per plan, and the rules of sending on your own WhatsApp Business number through Meta. The comparison column is a plain bulk sender, no vendor named.
What WhatsApp marketing software for webinars does
WhatsApp marketing software for webinars sends the messages a registrant expects, confirmation, reminders, the join link, the recording and a no-show follow-up, on WhatsApp instead of only by email, and brings the replies back to the host. Webinly runs it on the business's own WhatsApp Business number, connected through Meta's sign-up window, with Meta-approved templates, and it is included on every plan from Starter at $39 a month. Campaigns, an inbox, group posts, a chat button, voice calls and an AI assistant sit on top, priced below.
The difference from a bulk sender is where the list comes from. In Webinly every registrant is already a contact, with the number they gave, the webinar they chose, how much they watched and whether they reached the offer, so no file is exported before a message goes out. The WhatsApp page says what is stored and how anyone stops the messages; prices here were read on Webinly's pricing page on 25 October 2026.
A plain bulk sender and Webinly, side by side
The middle column is the usual shape of a standalone sender, no vendor named, no number invented. The right column is only what Webinly's pages state.
| What you need | A plain WhatsApp bulk sender | Webinly |
|---|---|---|
| The list | A file you upload and keep current | Every registrant is a contact, with the number they gave and what they did |
| Campaigns | Yes, that is the product | On every plan, with the inbox and reminders |
| Reminders tied to a webinar | Export, then time the send by hand | Confirmation, reminders, join link, recording, no-show follow-up |
| Missed the start | You learn it afterwards | Their own watch link 7 minutes in (2 to 180, your choice) |
| Replies | Depends on the tool | Come back into Webinly |
| Group and channel posts | Usually a separate job | Scheduled posts, quiz polls, an AI post writer, who read, clicked and bought: $29 a month on Starter, included on Pro and Scale |
| Website chat button | A separate widget | Plain button free on every plan; smart button (scroll or exit, chosen pages, opening hours, a lead form) $9 on Starter, included on Pro and Scale |
| AI answers | Varies by tool | 1,500 answers a month on WhatsApp and website chats, a person can take over: $39 a month on any plan |
| The CRM record | Not in a sender | Engagement, buyer-intent and fit scores, a stage, segments, a deal board |
| Voice calls | Usually a separate tool | WhatsApp voice calls on Pro and Scale; phone calls from a contact or deal card |
| Consent, stop words, the number | Yours to build | Opt-in for promotional messages; STOP, UNSUBSCRIBE and the Arabic words stop them at once; the number stays yours, billed by Meta |
What goes out on WhatsApp, and when
Once the number is connected, the messages your audience expects can go out there instead of only by email: a confirmation on registering, reminders before the start, the join link when it goes live, the recording afterwards, and a follow-up for people who registered and did not attend. Replies come back into Webinly.
For the person who misses the start, you name in Automations, per webinar, a template approved on your WhatsApp account that takes the first name, the webinar title and the watch link. Anyone who registered with a phone number but never opened the room then gets their own watch link 7 minutes after their session starts, adjustable from 2 to 180 minutes. No number, nothing.
Follow-up automations treat WhatsApp as a second channel next to email. A journey starts on what a person did: missed the start, reached the pitch, abandoned the checkout, bought, booked a call, crossed a score band. Steps wait, branch on scores, stage and tags, and send an email or a WhatsApp message; quiet hours hold anything due between 9 PM and 8 AM.
A WhatsApp step needs four things and skips itself, logged, when one is missing: WhatsApp connected, a template Meta approved (pre-approved wording with fill-ins such as the first name or watch link), a phone number with its country code on the contact, and the contact's opt-in for anything promotional. A service message about their own session or purchase needs no opt-in. Nothing goes by SMS.
Groups, the chat button, the AI assistant and calls
WhatsApp groups and channels keep a community warm between webinars: scheduled posts, quiz polls, an AI post writer, and who read, clicked and bought after each post. $29 a month on Starter, included on Pro and Scale.
The plain chat button for your website is free on every plan. The smart chat button decides when, where and to whom it shows: on scroll or exit, chosen pages, opening hours, with a lead form. $9 a month on Starter, included on Pro and Scale.
The WhatsApp AI assistant answers WhatsApp and website chats, 1,500 answers a month, and a person can take over: $39 a month on any plan. WhatsApp voice calls are on Pro and Scale only. Phone calls are separate: click Call on a contact or deal card in the CRM and the call runs in your browser.
Connect WhatsApp and send the first message
Only steps Webinly's pages describe; where they are silent, the step stays general.
- 1Connect your WhatsApp Business number from the Integrations page, in Meta's own sign-up window. Account and number stay yours, Meta bills the messages, and the permission can be withdrawn at any time.
- 2Get a template approved on your WhatsApp account, with fill-ins for the first name, the webinar title and the watch link. Name it per webinar in Automations and send yourself a test.
- 3Ask for a phone number with its country code on the registration form, and for consent where you will send anything promotional. No number, no WhatsApp message.
- 4Set the missed-start delay per webinar: 7 minutes by default, from 2 to 180. If you build your own no-show journey, switch this message off so nobody gets the link twice.
- 5Build one journey: trigger Misses a webinar, wait a day, a WhatsApp step that fills in the watch link, then a branch on whether they watched. Preview it on a real contact, nothing sent, then switch it on.
- 6Send your first campaign to the people who opted in. For a community, add groups and channels, schedule the posts, and read who read, clicked and bought.
Who is it for?
A host whose audience reads WhatsApp before email. If registrants hand over a number more readily than they open a reminder, the watch link arriving on WhatsApp 7 minutes into the session is a message an email cannot replace.
A coach or trainer with a WhatsApp group or channel next to the webinars, who wants posts scheduled, quizzes as polls, and names after each post. The CRM for coaches article covers the contact record behind it.
It is not for blasting a bought list. Every message is a Meta-approved template, promotional messages need opt-in, and a stop word ends the conversation on the spot.
What you lose, and what you keep
Against a plain sender, four things go and four things stay.
- You lose free-text blasts: each message is a template Meta approved first, with fill-ins.
- You lose SMS and push notifications, which Webinly never had; reminders go by email, and by WhatsApp once connected.
- You lose the people who gave no number, and a promotional step without opt-in is skipped and logged.
- You lose a shared seat on Starter: just you there, 3 on Pro, 10 on Scale, extra people $19 a month.
- You keep your number and account: Webinly never moves a customer's number into its own, and one customer never sees another's conversations.
- You keep your data on your terms: held only to show the conversation, never sold or shared, deleted when you disconnect or a person asks to be erased.
- You keep your audience's way out: STOP, UNSUBSCRIBE, إلغاء and إيقاف stop the messages immediately.
- You keep a price per account, not per seat, with co-hosts included.
What does WhatsApp cost in Webinly at your size?
Starter, $39 a month or $390 a year: one automated or evergreen webinar at a time, unlimited registrants, WhatsApp reminders, inbox and campaigns, and the plain chat button. Add the smart button for $9 and groups and channels for $29 a month. One person, no voice calls, no live.
Pro, $159 a month or $1,590 a year: all of that plus the smart button, groups and channels and WhatsApp voice calls included, live broadcasting, your own domain, 3 people and $19 a month per extra person. Scale, $349 a month or $3,490 a year, adds bigger rooms and 10 people.
On any plan, the WhatsApp AI assistant is $39 a month for 1,500 answers and broadcast email plans start at $29 for 10,000 emails. Meta bills the WhatsApp messages; the rows above are what Webinly charges. Full table: the pricing page; a first plan is $1 today, then the plan price 7 days later.
Frequently asked
Is Webinly a WhatsApp bulk sender?
No. Messages go out on the business's own WhatsApp Business number, connected through Meta's sign-up window, and every message is a template Meta approved, with fill-ins such as the first name or watch link. Promotional messages need the person's opt-in, and a reply with STOP ends them at once.
Do I need a WhatsApp Business API account?
You need a WhatsApp Business account and a phone number of your own, connected from Webinly's Integrations page in Meta's own sign-up window. The account and number stay yours, Meta bills you for the messages, and Webinly only gets permission to send and receive, which you can withdraw at any time.
Can Webinly post into my WhatsApp group?
Yes. WhatsApp groups and channels are a Webinly feature: scheduled posts, quiz polls, an AI post writer, and who read, clicked and bought after each post. On Starter it is a $29 a month add-on; on Pro ($159) and Scale ($349) it is included in the plan.
Can I see who read a group post?
Yes. The groups and channels feature reports who read, who clicked and who bought for each post, so a post about your next webinar or your offer comes back with names. The same feature schedules the posts and writes quiz polls: $29 a month on Starter, included on Pro and Scale.
Does it do voice calls?
WhatsApp voice calls are on Pro and Scale only. Separately, phone calls run from the CRM: click Call on a deal card or a contact and the call runs in your browser with a three-line brief of what that person did, on your own SIP line or a calling plan, recorded with consent.
