Webinar Email Sequence: 9 Emails, Timings and Templates
· 11 min read · Webinly team
Most of a webinar's attendance, and most of its sales, are decided by email before and after the hour itself. The usual sequence is one invitation, one reminder and one replay link to everyone, so the person who stayed to the offer gets the same message as the person who never opened the room.
This page lays out a nine-email webinar sequence with a timing and a short, plain template for each, then shows which of them Webinly sends for you on every plan, which two are broadcasts, how automations branch on what each person did, and what the email side costs.
What a webinar email sequence looks like
A webinar email sequence is nine emails: an invitation about a week before, a confirmation the moment someone registers, reminders the day before, an hour before and five minutes before, then after the session a replay email for no-shows, a recap for attendees who did not buy, an offer-closing email the day before the deadline, and a thank you for buyers. Each one goes to a smaller group than the last, chosen by what the person did. The timings below are the ones Webinly runs by default; the words are templates you can paste and change.
The table is the whole sequence on one screen. The last column says whether Webinly writes and sends the email on its own, offers a template for it, or leaves it to an automation you build; the chain with every default timing is on the registration page.
| When | Who gets it | Written for you in Webinly | |
|---|---|---|---|
| 1. Invitation | About a week before, then a last call the day before | Everyone on your list not yet registered | A template in English and Arabic in Email marketing; sending to a list is the broadcast add-on |
| 2. Confirmation | The moment someone registers | Every registrant | Yes, on every plan; it lists the reminders that will really fire for that person |
| 3. Reminder, the day before | 24 hours before, then 3 hours before | Every registrant who signed up before that point | Yes, on by default, each switchable per webinar |
| 4. Reminder, the hour before | 1 hour before, then 30 minutes before | Same | Yes, on by default |
| 5. Starting now | 5 minutes before | Every registrant; replay registrations get no pre-session reminders | Yes; the confirmation page also redirects into the room at the start |
| 6. Replay for no-shows | 5 minutes after the end, a push at 1 day, a last call at 6 days | Registrants who never joined and have not watched since | Yes, each with a signed replay link when the webinar has a replay |
| 7. Recap for attendees | 5 minutes after the end; offer not clicked at 4 hours; a replay split at 3 days | Attendees, then those who saw the offer and never opened it | Yes, three emails on the default ladder |
| 8. Offer is closing | Once, the day before the deadline | People who stayed for the offer and did not buy | A template in Email marketing, or a step in an automation that stops for anyone who buys |
| 9. Thank you | Within a day of the purchase | Buyers | A thank-you template in Email marketing; the New buyer welcome journey is ready to copy |
Templates: what each email says
Short, plain and honest. Replace the brackets and keep the length; a subject line and a body each.
- Invitation. Subject: [Topic], live on [weekday] at [time, city]. Body: I am running a free session on [topic] on [weekday] at [time, city], about [length] minutes. You will leave with [one concrete outcome]. There is a replay for [how long]. Save your seat: [link].
- Confirmation. Subject: You are in: [webinar] on [weekday]. Body: Your seat is saved for [weekday, date, time, city]. Your join link: [link]. Add it to your calendar: [calendar link]. Reminders come the day before, an hour before and five minutes before. Reply to this email if anything is unclear.
- Reminder, the day before. Subject: Tomorrow at [time]: [webinar]. Body: We start tomorrow at [time, city]. If the slot no longer works, the replay is open for [how long]. Your join link: [link].
- Reminder, the hour before. Subject: In one hour: [webinar]. Body: We start at [time, city]. Join from any browser, nothing to install: [link].
- Starting now. Subject: We are live. Body: [Webinar] is starting now. Join here: [link].
- Replay for no-shows. Subject: You missed it, here is the replay. Body: Sorry we did not see you. The replay is open until [date]: [link]. If you only watch one part, start at minute [N], where [the most useful point].
- Recap for attendees. Subject: What we covered, and the one question everyone asked. Body: Thanks for staying. The three points: [1], [2], [3]. The question most of you asked was [question]; the answer is [answer]. If [offer] is for you, it is open until [date]: [link].
- Offer is closing. Subject: [Offer] closes tomorrow. Body: A plain note: [offer] closes [day] at [time, city], and the price goes back to [regular price]. If one question is stopping you, reply to this email. The link: [link].
- Thank you. Subject: Welcome, and your first step. Body: Thank you for joining [offer]. Log in here: [access]. Do this first: [one step]. If anything does not work, reply here and a person will answer.
- Two rules from Webinly's follow-up page keep the sequence honest: stop selling the moment someone buys, and only mention a deadline that exists. A last call with no real deadline can only claim that it is the last email.
When should each email go out?
Before the session, the question is how many reminders. Webinly schedules five per registration, on by default and each switchable: 24 hours before catches diary conflicts while something can still move, 1 hour before is where most people decide, 5 minutes before is pure link delivery, with 3 hours and 30 minutes in between. Any reminder already past at sign-up is skipped, so someone registering 40 minutes out gets the 30-minute and 5-minute emails only.
The difference is not small. Webinly's attendance calculator, built on published industry benchmarks, runs 1,000 registrations from your own list through the cadence: no reminders, about 273 live attendees; a 24-hour reminder alone, 357; 24 hours plus 1 hour, 420; adding the 5-minute link, 462. Planning estimates, not measurements of your audience, but the ranking holds: reminders beat the form.
After the session, speed follows the signal: an abandoned checkout is worth an email the same evening, a no-show needs a second touch a day or two later, and every send should check again first, so someone who watched the replay yesterday is not told today that they missed it.
How Webinly sends the sequence for you
Confirmation, reminders and follow-ups come with every plan, in English or Arabic with full right-to-left. Subject and body are editable per webinar in the wizard's Emails step, and if you move the date the queued reminders re-arm against it.
The after-event ladder is already split. At end plus 5 minutes, two emails off one split: attended and did not attend. At 4 hours, attendees who saw an offer and never opened it. At 1 day, the no-show push; anyone who has watched since drops out. At 3 days, a replay-watched or not-watched split on real watch time. At 6 days, a last call to no-shows only, naming no deadline. Every rung re-checks watch time at send time, and replay links are signed per registration, so a forwarded link still works and still reports who watched.
Started checkout, did not pay is on by default too. When someone opens the payment form for your offer, in the room or on the offer page, and has not paid 30 minutes later, the email lands within the hour, names the offer and its price, links to their order with the checkout open, and holds that price for 24 hours.
For anything a fixed ladder cannot do, an automation reacts to a signal (registers, misses the start, misses the webinar, sees the offer, abandons a checkout, buys), waits, branches on what the person did since, sends an email written in the step with merge fields, and stops for anyone who buys. Quiet hours hold anything due between 9 PM and 8 AM. Automations come with every plan, and you can preview a journey on a real contact with nothing sent.
The invitation and the offer-closing email are broadcasts
Two emails in the sequence go to people who are not registrants of this webinar: the invitation, to everyone on your list who has not signed up, and the closing note, to the group that stayed for the offer. In Webinly that is Email marketing: write one email, choose who gets it, send it now or schedule it to the minute.
A new email opens on finished templates, one per job: an invitation, a reminder a day before, starting soon, the replay is ready, the offer is closing, a newsletter, a thank you after a session, and a simple note, each written in English and, separately, in Arabic. You can also reuse a past email, start blank, or describe the email in a sentence and get a first draft. Personalise with the first name, with a fallback such as 'there'.
Who gets it is a group, with groups under But not left out even when they match: for the invitation, everyone with an email but not the people registered for this webinar, and a scheduled email counts its group again when it goes out. Known limits: no open or click counts on broadcasts, no A/B test, one email rather than a sequence, a sent email cannot be taken back, and one unsubscribe also stops that person's reminders and follow-ups.
Can the sequence go out on WhatsApp too?
Yes, once the business connects its own WhatsApp Business number through Meta's sign-up window. The same moments then go out on WhatsApp as well as email: a confirmation on registering, reminders before the start, the join link when it goes live, the recording afterwards, and a follow-up for people who registered and did not attend. Anyone who registered with a phone number but never opened the room gets their own watch link 7 minutes after their session starts, adjustable from 2 to 180 minutes.
The rules: WhatsApp only delivers templates Meta approved in advance, with fill-ins such as the first name or the watch link; Meta bills the conversations; a promotional step needs the person's opt-in and a phone number with its country code, or it is skipped and logged; and anyone can stop the messages with a stop word in English or Arabic. There is no SMS and no push notification anywhere in the product.
Set up the sequence in Webinly
Only steps Webinly's pages describe.
- 1Create the webinar and open the Emails step. The confirmation and the five reminders (24 hours, 3 hours, 1 hour, 30 minutes, 5 minutes) are on; rewrite subject and body per webinar, in English or Arabic, and paste the templates above where they fit.
- 2Check the after-event ladder: attended and did not attend at 5 minutes, offer not clicked at 4 hours, the no-show push at 1 day, the replay split at 3 days, the last call at 6 days. Switch off any rung your own automation replaces.
- 3Leave Started checkout, did not pay on, so a buyer who stops gets their order and the checkout back within the hour, at a price held for 24 hours.
- 4Build the invitation in Email marketing: the invitation template, Send to everyone with an email, But not the group registered for this webinar, scheduled a week before, then duplicated as a last call for the day before. Type the sender name and reply-to once and keep them for every broadcast.
- 5Add one automation: trigger Misses a webinar, wait a day, an email pointing at the best part, wait two days, a branch on whether they watched. Put a branch before every sales email that sends buyers to the end. Preview it on a real contact, then switch it on.
- 6Register for your own webinar with a spare address, sit through it and read every email on your phone. Send yourself a test of the invitation before it goes to the list.
What does email cost in Webinly at your size?
Webinar emails, confirmation, reminders and follow-ups, come with every plan: Starter at $39 a month or $390 a year (one automated or evergreen webinar at a time, unlimited registrants; live broadcasting starts on Pro), Pro at $159 or $1,590 a year, Scale at $349 or $3,490 a year. Automations that email one person after they do something are included and do not use the add-on.
Sending one email to a group or your whole list is Email marketing, a paid add-on on top of the plan, with broadcast plans from $29 for 10,000 emails; without it you can still write, preview and send tests. The price is per account, not per seat, co-hosts included. Every line is on the pricing page, checked against the product on 24 October 2026.
Frequently asked
How many emails should a webinar sequence have?
Nine covers the job: an invitation, a confirmation, three reminders, a replay email for no-shows, a recap for attendees, an offer-closing note and a thank you. Webinly sends the confirmation, five reminders and a five-rung after-event ladder on its own; the invitation, the closing note and the thank you are templates you send or automate.
When should the reminder emails go out?
Webinly's defaults are 24 hours, 3 hours, 1 hour, 30 minutes and 5 minutes before the start, each switchable per webinar. Any reminder already past at sign-up is skipped, so a person who registers 40 minutes before the start gets only the 30-minute and 5-minute emails, and the confirmation lists exactly which ones will fire.
What should a webinar follow up email say?
Whatever matches what the person did. A no-show gets the replay link and one reason to watch it; an attendee who saw the offer gets a recap and an answer to the biggest objection; a buyer gets a welcome and a first step, with no more selling. Never the same message to all three, and only a deadline that exists.
Does Webinly write the emails for me?
The confirmation, reminders and after-event emails are written and sent for you, in English or Arabic, with subject and body editable per webinar. For broadcasts, a new email opens on a template per job, each in English and separately in Arabic, or you describe the email in a sentence and get a first draft to edit.
Can the sequence go out on WhatsApp too?
Yes, once your own WhatsApp Business number is connected through Meta's sign-up window: confirmation, reminders, the join link when live, the recording and the no-show follow-up. WhatsApp delivers only Meta-approved templates with fill-ins, Meta bills the conversations, a stop word ends them at once, and there is no SMS anywhere in the product.
