Webinar Registration Form: Fields, Template, 5 Reminders

· 10 min read · Webinly team

A webinar registration form looks like the easiest part of the whole event: two boxes and a button. Then the questions start. Should it ask for a phone number? A company? How did you hear about us? Every extra field costs completions, and most of the answers end up in a column nobody reads. Meanwhile the confirmation, the calendar entry and the reminders, which decide whether the person turns up, are left to the tool's defaults.

This page settles the fields one by one, gives you a form template you can paste, and lays out what has to happen in the seconds, hours and days after the submit. Then it shows how Webinly builds the form as part of the webinar, with the confirmation, five reminders and a contact record attached, in English or Arabic, with no limit on registrants.

What should a webinar registration form ask?

Name and email, and then a field only when you can name what you will do differently because of the answer. Email is the follow-up chain and a name makes the later emails read as messages, so those two stay. A phone number earns its place when a WhatsApp reminder or a call will use it, and nothing else earns a place by default.

The best fields are the ones the visitor never sees. Where the person came from (the UTM tags on the link, the referring site, the landing page) should be captured as hidden inputs, not asked; 'how did you hear about us' is a question the URL already answered. In Webinly's registration form the five UTM parameters, the referrer and the landing page are recorded as hidden inputs, behind an off-screen honeypot, a CAPTCHA, rate limiting and disposable-address rejection.

Two exceptions push the form longer on purpose: a paid webinar, where the submit button becomes a checkout, and a heavily qualified session, where the drop-off is the point. For a free webinar aimed at cold traffic, neither applies.

Field by field: ask it or not

Each row is a field people are tempted to add, the honest answer, and what the answer feeds. The third column is the test: a field that feeds nothing only ever cost you registrations.

FieldAsk it or notWhat it feeds
EmailAlways; it is the one required fieldThe confirmation, every reminder, the replay link and the contact record
NameYesEmails that read as a message, with the first name filled in
Phone numberOnly when WhatsApp or a call will use it; ask with the country codeA WhatsApp watch link to anyone who misses the start, once WhatsApp is connected; a call from the contact record
One qualifying question (which best describes you?)Only if different answers get different follow-upA custom contact field, shown on the profile and in the CSV export
Company or roleOnly if sales routes on itA contact field your team can read before a call
How did you hear about usNo; the link already told youNothing the UTM tags do not feed better
Consent checkboxWhere the law where your audience lives needs oneThe exact wording agreed to, kept on the profile with the time
Session pickerOnly when the webinar has several sessions; the page adds it on its ownThe right start time in that person's confirmation, calendar entry and reminders
Hidden: UTM tags, referrer, landing pageCaptured, never askedSignups and sales by source, campaign, ad set and creative
PaymentOn a paid webinar; the button becomes a checkoutA seat only for people who paid, on Stripe or Tap

A webinar registration form template you can paste

Here is the whole form, written out. Replace the bracketed parts and keep the shape: a headline that names the outcome, one line on who it is for, the time with the city named, two fields, and a button that says what the click gets. Write the button in the first person and put the slot in it: 'Save my seat for Thursday 11 AM' beats 'Submit', and restating the slot gives someone who cannot make it one more chance to notice.

  • Headline: Save your seat for [the outcome, such as a 5-email launch sequence written in 45 minutes]
  • Subhead: For [who it is for]. [60] minutes, [live or recorded], with questions at the end.
  • Time line: [Weekday], [date], [time] [city] time. Free, and the replay stays up for [number] days.
  • Field 1: Your first name
  • Field 2: Your email (the join link and the reminders go here)
  • Optional field, only if you will use it: WhatsApp number, with the country code, for the join link when we start
  • Consent line, where needed: I agree to receive the emails for this session. One click to unsubscribe.
  • Button: Save my seat for [weekday] [time]
  • Under the button: One click to join on the day. No install, no login.

What happens after someone registers

The form is one of seven moments, and the other six decide whether a name on the list becomes a person in the room. Here is the chain Webinly runs for every registration, on every plan.

  • Confirmation page, the same second: the session time written so a timezone cannot be misread, the join link, add-to-calendar and a countdown. At the start it sends people into the room on its own, and for a live webinar it waits until the host has actually joined.
  • Confirmation email, seconds later: the durable copy they will search for on the day, with the join link and the exact reminders that will fire for that person.
  • Calendar entry, when they click: prefilled links for Google, Outlook, Office 365 and Yahoo, a webcal link for Apple Calendar and an .ics file for the rest, each with that registrant's own start time.
  • Reminders at 24 hours, 3 hours, 1 hour, 30 minutes and 5 minutes before, on by default and switchable per webinar. Any lead already past at sign-up is skipped, so someone registering 40 minutes out gets the 30-minute and 5-minute ones only.
  • Join, at the start: one click from the email. No login, no install, no room code.
  • Follow-up, five minutes after the end: two emails off one split, attended and did not attend, then a ladder over six days that re-checks watch time before every send.
  • The record: every registration creates a contact, one profile per email address, with engagement, buyer-intent and qualification scores that update as the person acts.

Can I embed the form on my site, and in Arabic?

The registration page is a page of its own, at a link like app.webinly.com/w/your-webinar, or on a domain you own on Pro and Scale. On it the form shows inline or opens as a popup from a button, field-for-field identical either way; the page builder page covers the blocks around it.

To register people from your own website, two routes. Build the form in Webinly Forms, which embeds inline or opens from a button or link in its own pop-up window, with an ending that registers the person for the webinar with the email they just typed. Or, on Pro and Scale, or Starter with the $9 a month API add-on, create the registration through the API from a form you already have. For your own list, a signed one-click link creates the registration on click.

Reminders go by email, and by WhatsApp once you connect a WhatsApp Business number: anyone who registered with a phone number and has not opened the room gets one WhatsApp message with their watch link 7 minutes after the start. There is no SMS. Arabic is not an add-on either: registration pages, forms, booking pages and the webinar emails run right to left, and the reminder subject and body are editable per webinar in Arabic or English.

Build it in Webinly, step by step

The form is a step in the webinar wizard, not a separate product, so the schedule, the emails and the replay are set up with it and cannot drift apart. Six steps.

  1. 1Basics: pick when it runs. Just once, Repeats weekly, Specific sessions, or Always on, where each visitor gets a session minutes after they arrive. Several sessions give the form a session picker on their own.
  2. 2Landing page: start blank or from a template and drag in the Registration form block, or on Pro and up let the AI Creator draft the page from a few answers. Choose whether the form sits on the page or opens as a popup.
  3. 3Fields: a new webinar starts with name and email, the email field locked required. Add a phone field, a built-in contact field, a custom property or a consent checkbox, and nothing else unless it changes your follow-up.
  4. 4Emails: the confirmation, the five reminders and the follow-ups are on by default. Edit the subject and body per webinar, in English or Arabic, and switch off any reminder you do not want.
  5. 5WhatsApp, if you asked for a phone: connect your WhatsApp Business number on the Integrations page, name an approved template that takes the first name, the webinar title and the watch link, and send yourself a test.
  6. 6Review, publish, then register for your own webinar with a spare address and sit through the confirmation, the calendar link and the first reminder.

Should I ask for a phone number?

Only when something will use it within the hour. On a free webinar for cold traffic, a phone field reads as the price of admission being a sales call, and the visitor prices that in before they type. A number nobody calls is pure cost.

Two uses justify it: the WhatsApp watch link to people who miss the start, and a call from the contact record to the people who reached the pitch, which is what the Call button on a contact is for. Ask with the country code, so one number is always written one way and the WhatsApp step is never skipped for a missing code.

Is there a limit on registrants, and what does it cost?

Registrations are unlimited on every Webinly plan. Starter is $39 a month and runs one automated or evergreen webinar at a time, with 300 evergreen viewers a month; it cannot broadcast live. Pro is $159 and adds live broadcasting with 12,000 attendee-minutes a month, rooms of 300, unlimited webinars, 2 co-hosts, no Webinly badge and your own domain. Scale is $349 for rooms of 1,000 and multi-day events. The price is per account, not per seat, and co-hosts are included; the pricing page shows every limit as checked against the product on 24 October 2026.

Two numbers sit around the form. On a first plan you pay $1 today and the plan price 7 days later, with one webinar and up to 50 registrations in between. And on a live webinar, room size is separate from registrations: extra people still get in at $0.50 each as a flex seat, billed after the broadcast, unless you lock the room to your plan size. To charge for registration itself, set a price on the webinar and people pay on Stripe or Tap as they register; the paid webinars page covers that flow.

Frequently asked

What should a webinar registration form ask?

Name and email, then a field only when you can name what you will do differently because of the answer. Where the person came from should be captured as hidden UTM tags, not asked. A phone number earns its place when a WhatsApp reminder or a call will use it; on a free webinar for cold traffic it costs registrations.

Should I ask for a phone number?

Only if something will use it. In Webinly a number, with its country code, lets anyone who misses the start get their watch link on WhatsApp 7 minutes in, once your WhatsApp Business number is connected, and lets you call them from the contact record. If neither applies, ask on the confirmation page or in the room instead.

Can I embed the form on my site?

Yes, two ways. A Webinly Form embeds inline or opens in a pop-up from a button or link, and its ending can register the person for the webinar with the email they typed. On Pro and Scale, or Starter with the $9 a month API add-on, your own form can create the registration through the API.

What happens after someone registers?

A confirmation page with the time, the join link, add-to-calendar and a countdown; a confirmation email seconds later; reminders at 24 hours, 3 hours, 1 hour, 30 minutes and 5 minutes before; one-click join at the start; then, five minutes after the end, separate emails for people who attended and people who did not. Every registrant becomes a contact.

Can the form be in Arabic?

Yes. Registration pages, forms, booking pages and the webinar emails run in Arabic with full right-to-left layout, on every plan including Starter. The confirmation and reminder subject and body are editable per webinar in Arabic or English, and anyone can stop WhatsApp messages with an Arabic or English stop word, with no further step.

Is there a limit on registrants?

No. Registrations are unlimited on Starter, Pro and Scale. On a first plan, the 7 days between the $1 payment and the plan price allow one webinar with up to 50 registrations. Live room size is separate: Pro holds 300 and Scale 1,000, and extra people get in as flex seats at $0.50 each unless you lock the room.

Build the form inside the webinar, with the confirmation, five reminders and a contact record for every registrant already attached: your first plan is $1 today and the plan price 7 days later, cancel any time.
