RSVP Form Template: 6 Fields, Copy and Auto Reminders
· 10 min read · Webinly team
You are inviting people to something with a date on it: a dinner, a launch, a workshop, a webinar. The RSVP form is where you learn who is coming, and where invitations quietly die. Too many questions and people close the tab; too few and you are guessing. And a yes that nobody reminds turns into an empty chair, or an empty room.
This page gives you the RSVP form copy to paste, field labels, help lines, button and confirmation line, with a table of what to ask and what each answer feeds. Then it separates the dinner RSVP from the online one, where the confirmation, the reminders, the join link, the recording and the no-show follow-up should run on their own, as Webinly runs them.
What should an RSVP form ask?
An RSVP form asks for a name, an email, whether the person is coming, how many guests they bring and one line for a question or a note, plus a phone number only when a WhatsApp reminder or a call will use it. For an online event the yes is the registration itself, so the form shrinks to name and email and the work moves to what follows: the confirmation, the reminders, the join link and the recording.
The test for every field: name what you will do differently because of the answer. The email is where the confirmation, the reminders and the link go, so it is always required. A phone number earns its place when something will use it, and costs completions when nothing will.
The attending question and the guest count are dinner questions: a caterer needs a head count, a webinar room records who turned up on its own. The note field stays in both versions, because the question you will answer on stage comes from it. Webinly's webinar registration form starts with name and email, with the email locked as required; everything else you add on purpose.
The RSVP form template, ready to paste
Replace the square brackets, delete the fields you do not need, and keep each help line short: it answers the doubt a person has while their cursor is in the box.
Two rules: the button names the slot, because Submit commits a person to nothing, and the confirmation line says what happens next. Online, run it on the webinar's own registration form, or on a Webinly Form when you want the yes or no, the guests and the note, with an ending that registers the person for the webinar.
- Heading: Will you join us? [Event name], [weekday, date], [time] [city] time. It takes 20 seconds.
- Your name. Help: So we know who to expect.
- Email, required. Help: Your confirmation and the link arrive here. Check it once.
- WhatsApp number, optional. Help: With the country code. Used only for your reminder and the link on the day.
- Will you be there? Yes, count me in / No, but send me the recording / Not sure yet. Help: Changed your plans? Reply to the confirmation email.
- Bringing anyone? 0 / 1 / 2. Help: Online, give us their email so they get their own link.
- Anything we should know? Help: A question for the host, a dietary need, an access need. One line is plenty.
- Button: Count me in for [weekday] at [time].
- Confirmation line: You are in. [Event name] is on [weekday, date] at [time] [city] time. Your confirmation is in your inbox with a calendar button.
- Decline line: Thanks for telling us. If there is a recording, it goes to [email] after the event.
Field by field: ask it or not, and what it feeds
Each row says whether to ask the field, and what the answer feeds. The best fields are the ones a guest never sees: Webinly's registration form records the UTM tags, the referrer and the landing page as hidden inputs, behind a honeypot and a CAPTCHA.
| Field | Ask it or not | What it feeds |
|---|---|---|
| Name | Yes, one box | The greeting in every email, and the contact record |
| Always, required | Confirmation, reminders, join link, recording. It creates the contact | |
| Phone, with country code | Optional, only when WhatsApp or a call will use it | WhatsApp reminders and the missed-start watch link, once a sender is connected |
| Attending, yes or no | Dinner: yes. Online: no, registering is the yes | The head count. Online, the room records who attended |
| Number of guests | Dinner: yes. Online: no, each person needs their own link | Seating. Online, a personal invite link per registrant does the job |
| Date or session | Only when there is more than one | The session picker, and that person's own time in the calendar entry |
| A question or a note | Yes, optional, one line | Your preparation: a question for the host, a dietary or access need |
| Company, title, how you heard about us | No, unless you will act on the answer | A column nobody reads. The link already carries the source |
| Consent checkbox | Where the law asks for it | The exact wording they agreed to, kept on the profile |
A dinner RSVP and a webinar RSVP are two different jobs
A dinner RSVP ends when the form is sent. An online event has no such pull: skipping it costs nothing, the link is buried in an old email, and the time zone was a guess. So an RSVP for a webinar is a registration, and most of the work happens after the submit.
The chain, as Webinly runs it on every plan: a confirmation page the same second, with the session time written so a time zone cannot be misread, the join link, add-to-calendar buttons and a countdown; a confirmation email seconds later; five reminders at 24 hours, 3 hours, 1 hour, 30 minutes and 5 minutes before, with any reminder already past at signup skipped; and one-click join at the start, with no login, no install and no room code.
The calendar links cover Google, Outlook, Office 365, Yahoo and Apple Calendar, plus an .ics download, and on a multi-session or just-in-time webinar the entry carries that person's own start time.
Once a WhatsApp Business number is connected, the same messages can go out on WhatsApp instead of only by email: the confirmation, the reminders, the link to join when it goes live, the recording and the follow-up for people who did not attend. Replies come back into Webinly, anyone can stop with a stop word, and the number stays yours, billed by Meta. There is no SMS, which is why the template asks for a WhatsApp number with the country code.
How to set up the RSVP in Webinly for an online event
Six steps, plus the form builder if you want the full RSVP questions.
- 1Create the webinar and pick when it runs: Just once, Repeats weekly, Specific sessions or Always on. Starter runs one automated webinar at a time; a live session needs Pro.
- 2Build the registration page in the page builder, from a template or blank. It starts with name and email; add a phone field, with the country code, only if WhatsApp will use it.
- 3Put the weekday, date, time, city-named time zone and length next to the form, and make the button restate the slot.
- 4For the yes or no, the guests and the note, build the template as a Webinly Form, end it with Register them for a webinar, and embed it inline or as a pop-up.
- 5Open the Emails step: the confirmation and five reminders are on by default, editable in English or Arabic, with two follow-ups after the end, one for attendees and one for no-shows.
- 6Connect WhatsApp from the Integrations page, name an approved template, and set the missed-start delay, 7 minutes by default. Then publish, register with a spare address, and read the confirmation page as a guest.
What about people who RSVP and do not show up?
Online, a no-show is not lost: the recording is a second chance. Webinly's default emails handle the first touches: attended and no-show emails five minutes after the end, a no-show push one day later, a split at three days on whether they watched the replay, and a last call at six days for no-shows only. Each replay link is signed per registration, so a forwarded link still reports who watched.
During the event there is a faster rescue: anyone who registered with a phone number but never opened the room gets a WhatsApp message with their own watch link 7 minutes after their session starts, a delay you set per webinar from 2 to 180 minutes, once WhatsApp is connected. No phone number, no message.
Beyond the defaults, webinar follow-up automations start from what each person did, Misses a webinar among the triggers: wait a day, send the best part, wait two days, branch on whether they watched, with quiet hours from 9 PM to 8 AM and a stop for anyone who bought. Automations come with every plan, Starter included.
Can I use it for a multi-day event?
Yes. One RSVP covers five days. On the Scale plan, at $349 a month, Webinly's multi-day events take one registration that enrolls the person in every day of a challenge, masterclass series or summit, on fixed dates or evergreen from the day they sign up. Each day keeps its own reminders and attendance record.
Seven standard emails run it: a confirmation on registering, a receipt on a paid event, a day reminder 24 hours before each day, a starting-in-one-hour email, a live-now email, a missed-a-day email 30 minutes after a day ends, and a completion email with a certificate. Each attendee gets a hub with what is next and what they missed, with no account to create.
Two limits. The event form takes a name and an email only, with no custom questions, and the attendee pages and default emails are in English, so the note field needs a separate form. Starter and Pro see an upgrade prompt instead; there, a webinar with Specific sessions lets each person pick one date.
What does it cost, and is there a free RSVP form?
A plain RSVP for a dinner needs no paid tool: any free form builder collects a name, a yes and a guest count. The paid part begins when the event is online and the follow-up has to run on its own. The prices below were read from the Webinly pricing page on 25 October 2026.
Starter is $39 a month, or $390 a year: one automated webinar at a time, unlimited registrants, the registration and replay pages, the confirmation and reminder emails, a contact record for every registrant, and WhatsApp reminders once a sender is connected. Live broadcasting starts on Pro at $159, with unlimited webinars and rooms of 300. Scale is $349 and adds multi-day events and rooms of 1,000. The price is per account, not per seat, and co-hosts are included.
A first plan is $1 today and the plan price 7 days later, with one webinar and 50 registrations in between. Registration pages, forms and the emails run in Arabic right to left on every plan, and a Starter page carries a small Webinly badge that Pro removes.
Frequently asked
What should an RSVP form ask?
A name, an email, whether they are coming, how many guests, and one line for a question or a note, with a phone number only when a WhatsApp reminder or a call will use it. For an online event the yes is the registration itself, so name and email are enough and the work moves to the reminders.
How do I make a free RSVP form?
For a dinner or a party, any free form tool does it: a name, a yes or no, a guest count, and the replies in a spreadsheet. Webinly is not free. Starter is $39 a month, and a first plan is $1 today and the plan price 7 days later, with one webinar and 50 registrations in those 7 days.
Can the RSVP send reminders?
For an online event, yes, without you writing them. Webinly sends a confirmation the moment someone registers and reminders 24 hours, 3 hours, 1 hour, 30 minutes and 5 minutes before the start, in English or Arabic, editable per webinar. Once a WhatsApp Business number is connected they can go out on WhatsApp too. There is no SMS.
Can guests add the event to their calendar?
Yes. Webinly's confirmation page carries add-to-calendar buttons: prefilled links for Google, Outlook, Office 365 and Yahoo, a webcal link that opens Apple Calendar, and an .ics download for everything else. On a multi-session or just-in-time webinar the entry carries that person's own start time, the same instant the confirmation page shows.
What about people who RSVP and do not show up?
They get a different email from the people who came, five minutes after the end, then a no-show push a day later and a last call at six days, each with a signed replay link when there is a recording. With WhatsApp connected, anyone with a phone number who never opened the room gets their watch link 7 minutes in.
Can I use it for a multi-day event?
Yes, on the Scale plan at $349 a month. One registration enrolls a person in every day of a challenge, masterclass series or summit, each day with its own reminder 24 hours before, a missed-a-day email 30 minutes after it ends, a hub with a catch-up view, and a certificate on completion. The event form takes name and email only.
Run your next RSVP as a registration, with the confirmation, five reminders, the join link and the recording sent for you: your first plan is $1 today and the plan price 7 days later, cancel any time.
